1. Purpose

The College will operate a web site that will demonstrate for our global community the high quality of life and learning at Loyalist College and will facilitate communications, administrative functions, research and course delivery.

The purpose of this procedure is to outline the principles for College’s web site.

2. Application 

This procedure applies to the College community.

3. Role and Responsibilities

Webmaster: Reporting to the Executive Director, External Relations, the Webmaster is required to approve individual and departmental Web pages in the interest of maintaining standards consistent with the College corporate standards for printed and electronic materials.

The Webmaster receives requests from College Departments and allocates and administers disk space and resources.

The Webmaster Steering Committee acts as an advisory group to the Webmaster.

4. The Webmaster Steering Committee
  • 4.1 Membership
    • The Webmaster Steering Committee consists of at least one representative, from each of the following groups or areas:
      • Academic Planning Committee (2 representatives, including one from Continuing Education or Training and Development Centre or Skills and access,
      • Admissions and Enrolment,
      • Alumni,
      • Anderson Resource Centre,
      • CAL Central,
      • CIS Project,
      • Computer Centre,
      • a Faculty or staff member from each academic/training area,
      • Marketing Committee,
      • SAC
    • Members are elected (if appropriate) annually by their constituent groups. Chair will be elected annually by the committee.
  • 4.2 Mandate
    • The committee will perform an advisory role to:
      • develop and modify Web site policies and procedures
      • propose Web site budgets
      • recommend Web site training
      • encourage Web site instructional initiatives
5. Approving Web Page Content

Web page content must be approved by the manager responsible for the information according to the administrative structure.

    • Campus group and Club web pages
6. Requesting Web Page Space
  • 6.1 Making Requests
    • Please see complete the request form (Appendix A).
  • 6.2 Granting Requests
    • The Webmaster is responsible for ensuring that the Web pages conform to College corporate standards for printed and electronic materials. The Webmaster will allocate server space according to the following priorities:
      • Corporate pages (including: Marketing, Admissions, Registration)
      • Course Delivery*
      • Departmental Pages
      • Campus Groups and Clubs
    • * As with any other course, the course documentation must be approved by the appropriate dean, an addition to any approvals by the Webmaster.
7. Responding to Web Site Complaints

If the Webmaster receives a complaint from a Loyalist College user or from the administrator of an external network regarding offensive or inappropriate material on the Web site, the Webmaster will initiate an investigation to determine the legitimacy of the complaint, suspicion or allegation, and make a recommendation as to appropriate action.

  • 7.1 Complaints Process
    • The action may result in immediate removal or modification of the material during the investigation.
    • The Webmaster will:
      • Keep official written record of all complaints and resolutions
      • Discuss remedy with responsible person
      • If no resolution, refer to appeal process (Please see Appendix B)
      • Inform complainant of resolution
8. Freedom of Information and Protection of Privacy Act (FOI)

The Freedom of Information and Protection of Privacy Act allows the public greater access to government documents concerning the way government conducts business, and protects the privacy of people whose information is held by government. Student and staff information is protected under this act. When posting materials, Web authors must comply with FOI requirements/regulations.

9. Liability Limitations

While the College will attempt to ensure that the information stored on its systems is current, accurate, accessible and reliable, it assumes no responsibility or liability for any damages or inconvenience incurred based on use of information retrieved from its systems.

The College assumes no responsibility or liability for any loss of output, loss of data, time delay, system performance, software performance, incorrect advice from a consultant or any other damages. While the College will attempt to ensure that inappropriate materials are not stored on its system, it cannot be accountable for any information on its system or access through College network services that may be offensive.
