Book an Event

1. The User shall obtain a general liability insurance policy covering bodily injury, including death and property damage in a form satisfactory to the College in an amount of not less than Two Million Dollars ($2,000,000.00) in respect of its use of the facility and such policy shall name the College as an additional insured for the duration of the Rental Period.
2. The User shall pay by upon presentation of an itemized statement for the Facilities and any services rendered by the College to its Accounting Department, within 30 calendar days, at the address provided on the front. Any damages, loss, costs and expense incurred by the College as a result of the User’s use of the Facilities will be incurred. Interest will be payable at a rate of 10% per annum for all outstanding invoices.
3. Any catering costs must be arranged through on campus Food Services or Resto 213 personnel. Food and beverages are not permitted in classrooms without authorization. The College accepts no responsibility or liability in regards to food.
4. The User will receive only those additional janitorial services specifically arranged in advance and specified in this Agreement. The User shall leave the Facilities in a clean and broom-swept condition. The College reserves the right to charge the User for additional costs of any cleanup incurred by it related to the User’s use of the Facilities.
5. Any audio visual equipment and services required by the User, must return to the Kente Security Desk. I.e. wireless mics.
6. The College’s security service is for the safety of College property only, and not for the protection of the User or its property or guests. The College shall not be liable for loss or theft of any property belonging to the User of its invitees.
7. The College is a smoke-free facility and the User shall not allow any smoking in or on the grounds of any College buildings.
8. Absolutely no alcoholic beverages will be permitted in College buildings or grounds except in specific licensed areas. Liquor licenses are to be arranged through the College. The User shall be held responsible for compliance with the Alcohol and Gaming Commission of Ontario (AGCO) regulations and applicable copyright laws including payment of any SOCAN licenses fees.
9. The User accepts financial responsibility for loss or damage to the facilities or equipment of the College due to the User's activity. The Damage Deposit will not be returned to the User within seven days after the end of the Rental Period unless the College is satisfied that its property has not been damaged by the User or its invitees. In the event that the College is not so satisfied, the Damage Deposit will be retained by it and applied towards the costs of said damage and the User shall pay to the College any additional amounts required to affect the necessary repair and/or replacement.
10. All equipment must be used to the Electrical Code standards and be CSA or UL approved. Only qualified electricians approved by the College are permitted to open electrical panels or connect electrical equipment.
11. The User is responsible for all safety measures, including ensuring that all participants have the necessary equipment, including safety equipment related to the User’s use of the Facility.
12. User will observe and enforce all rules, regulations, and policies of the College, including those with respect to fire safety.
13. The User acknowledges and agrees that all risks associated with the use of the Facility and/or the campus is the sole and exclusive responsibility of the User. The User agrees that the College shall have no liability or responsibility whatsoever for personal injury or wrongful death or damage to property sustained by the User or any person, employee, spectator, invitee or any other person whatsoever who may be on College property or arising from or relating to any event occurring during the term of this Agreement.
14. INDEMNIFICATION: The Parties shall each indemnify, defend, and save the other harmless from and against all claims, losses, damages, judgments, costs, expenses, actions and other proceedings made, sustained, brought, prosecuted or threatened to be brought or prosecuted that are based upon, occasioned by, or attributable to any damages or loss or harm of any kind whatsoever, including but not limited to bodily injury to or death of a person or damage to or loss of property caused by any negligent act or omission on the part of the indemnifying party, its officers, employees, or agents arising out of this Agreement, to the extent of the coverage amounts in the policies of insurance provided for herein, provided that the requester shall be responsible for the attendees and volunteers while they are under the requester's supervision. The User releases, waives, and forever discharges the College, its Board of Governors, employees, agents, officers, members, servants, invitees, and any other persons for whom the College may in law be responsible of and from any and all claims, demands, damages, costs, expenses, actions and causes of action whatsoever, whether in law or equity, in respect of death or injury of the User or its invitees, or loss or damage to the User or its invitees or to their property.
15. The College may terminate this Agreement for non-compliance with this Agreement including any of the aforementioned rules, policies, or regulations. Moreover, any excessive noise, disturbances or nuisances which are not reasonably related to the rental of the facility will be a deemed non-compliance.
